Job Summary

The Project Coordinator will provide project and administration support for the Project Management Office. Primary responsibilities include the administration and maintenance of processes and procedures essential for the effective and efficient operations of the Project Management Office (PMO). This role creates and maintains reports and supports critical processes and information needs that drive continuous improvement, customer transparency, and compliance. The Project Coordinator will also provide support for one or more project teams, project artifacts, systems, and processes supporting the Project Life Cycle Methodology, Portfolio Governance, Time Tracking system, and metric reporting.

Location: Hybrid to our Pittsburgh, PA office

Responsibilities

  • Administer and maintain systems utilized by the PMO, such as;
    • Time Tracking system
    • Project Management (Life Cycle etc) system
    • SharePoint sites, files and user access (accounts)
    • Task Management tools (like JIRA, Azure DevOps, Monday.com, Power BI, etc)
  • Assist with scheduling (larger) meetings and help gather meeting minutes.
  • Assist with developing and delivering material the PMO administers and that is used for presentations, reports, and meetings (e.g. metric reporting, time tracking, audit requests)
  • Collaborate with other PMO members to create and maintain templates owned by PMO.
  • Create, maintain, and analyze regularly scheduled reporting materials.
  • Collating reports for steering committees, project groups, and leadership.
  • Coordinate and prepare project capital expense reports to submit to Finance.
  • Ensure adherence and consistent use of approved methods, processes, procedures, and tools.
  • Assist with maintaining project artifacts according to the Project Life Cycle.
  • Maintain project files and repositories for compliance/audit reference.
  • Provide knowledgeable support for PMO’s policies and procedures.
  • Support PMO continuous improvement tasks and activities as assigned.
  • Prepare and maintain project plans, track project progress and prepare reports for clients and project stakeholders.
  • Review project requirements, identify interdependencies with internal or external departments, delegate responsibilities and ensure that work is completed.

 

Skills & Qualifications

  • 2+ years serving as project administrator/coordinator, business analyst, or providing administrative support
  • Associate’s degree required (Bachelor’s preferred), or equivalent combination of education and experience
  • Knowledge of and experience with Jira, SharePoint, Microsoft Teams, Azure DevOps, Confluence, MS Project, Power BI, Monday.com.
  • High-level of knowledge and skills with Microsoft Office products, including Excel, Word, PowerPoint, and Outlook.
  • Strong verbal and written communication, and interpersonal skills.
  • Ability to multi-task, prioritize, and work efficiently while preserving accuracy and attention to detail.
  • Strong organizational skills
  • Energetic self-starter, with the ability to work independently.
  • Excellent customer service skills.
  • Prior experience supporting project teams or PMO functions preferred
