NewEdge Advisors is looking for a highly skilled service-minded Executive Assistant with a positive attitude who enjoys problem solving and meeting the needs of our growing business. The Executive Assistant will provide support to our top executives. The ideal candidate has excellent customer service skills, strong organizational skills and is self-motivated. The ability to provide strong administrative support and prioritize multiple job tasks is necessary to successfully perform the job functions.

 

Roles / Responsibilities:

The position of Executive Assistant is a dynamic role with a diversified number of assigned daily tasks. The primary responsibility of this position is to provide administrative support to our co-CEOs. Additional duties include coordinating meetings and supporting with operational tasks as needed.

The Executive Assistant is responsible for, but not limited to the following:

Coordinating calendar, travel, meetings, and schedule arrangements for co-CEOs. Includes initiating contact, scheduling appointments, securing supplies & equipment, and booking meeting space and/or facilities.
Managing the home office visit process including booking travel for prospective advisors and staff, order meals and necessary supplies, booking meeting space and hotel accommodations.
Managing executive’s calendars/daily schedule to include prioritizing meeting requests, tracking action items and commitments of executives and following-up to ensure completion.
Draft, review and send communication as needed.
Prepare and organize meeting materials, maintain records, record meeting notes as needed.
Performs administrative and functional activities, answering phone calls, distributing mail, coordinating advisor and staff appreciation gifts.
Other administrative tasks as assigned by the co-CEOs.
